DigiMedicus provides revenue cycle management and medical billing services to healthcare practices across the United States. This Privacy Policy covers what information we collect through our website at https://www.digimedicus.com (the "Website"), why we collect it, how we use it, and what choices you have around it. Take a few minutes to read through it before submitting anything to us. If any part of it doesn’t sit right with you, the Website isn’t the place to keep going.
This policy applies to information gathered through the Website itself, through forms you fill out to request a consultation or ask a question, and through any email or phone conversation that begins as a result of your interaction with the Website. It doesn’t apply to information DigiMedicus processes on behalf of our clients as part of delivering billing and revenue cycle services - that includes patient data and other information governed by HIPAA, which is handled under our client agreements and any applicable business associate agreement, not this policy. If you’re a patient with questions about how your medical information is handled, reach out to your healthcare provider directly - they control that information and set the rules for how it’s used, not us.
What we collect depends on how you use the Website.
When you fill out a contact form, request a demo, or sign up to hear from us, we typically get your name, email address, phone number, the name of your practice or organization, your job title, and whatever message or details you include. If you call or email us, we collect whatever you share in that conversation.
We also pick up some information automatically as you browse - your IP address, the browser and device you’re using, the pages you visit, how long you stay on each one, and the site that sent you our way. This comes from cookies and similar tracking tools, which we cover in Section 6.
Every so often, we’ll also receive information about you from other sources - a colleague who refers you to us, a professional directory, or a marketing partner that helps us reach healthcare organizations that might benefit from our services.
We’re not trying to collect sensitive information like Social Security numbers, financial account numbers, or medical information through the Website, so please don’t include that kind of thing in a contact form or email unless we’ve specifically asked for it as part of an active business relationship.
We use what we collect for a handful of practical reasons.
Your contact details let us respond when you reach out - answering a question, scheduling a call, or sending over the materials you asked for. Information from the Website itself helps us keep it running, figure out which pages people actually find useful, and fix things when something’s broken.
If you sign up for updates or marketing emails, we use your email to send those, and you can stop them anytime with the unsubscribe link in each message. We also look at overall traffic trends to decide which content is worth adding or updating and which services people are most curious about.
Sometimes we combine what you tell us directly with what we collect automatically, so when you contact us, we already have a sense of which pages you visited or which service you were reading about. That just helps our team respond faster and saves you from having to repeat information you’ve already given us elsewhere on the site.
We don’t sell personal information to third parties. That said, information does get shared in a few situations as part of running the business.
We work with vendors who help operate the Website - hosting providers, email delivery services, and analytics tools. They only get what they need to do their specific job, and they’re not allowed to use it for anything else.
We may share information with law enforcement or government agencies if we’re legally required to - say, in response to a subpoena or court order. We may also share it if we believe it’s necessary to protect the safety of our employees, users, or the public, or to look into suspected fraud or misuse of the Website.
If DigiMedicus is ever part of a merger, acquisition, or sale of some or all of the business, information collected through the Website may be transferred as part of that transaction. If that happens, we will take reasonable steps to make sure the new owner honors what’s laid out in this policy.
We don't keep information forever. It sticks around only as long as we actually need it - to answer your inquiry, keep our records in order, or satisfy a legal requirement - and once that reason is gone, so is the data (or at least anything in it that could point back to you). There is no single retention clock that applies to everything. A quick email exchange might not stay on file long; something tied to an ongoing relationship, or something the law requires us to keep, will hang around longer.
Cookies are small text files that a site places on your device to keep things running and to learn a bit about how people use it. We're not doing anything unusual here - just the standard mix.
Some are non-negotiable: without them, basic stuff like remembering what you clicked earlier in your session wouldn't work. Others are more about curiosity than function - they tell us which pages get read, which get ignored, and how long people actually stick around before bouncing. We also let a few advertising and analytics cookies in, mainly to see whether our marketing is landing or just noise.
You're not stuck with any of it. Your browser settings let you block cookies outright or wipe the ones already sitting on your device. Just don't be surprised if the site feels a little clunkier afterward - some of what makes it run smoothly depends on them.
Our Website links out to other sites sometimes - industry publications, partner organizations, and reference resources related to medical billing and revenue cycle management. Once you click through and leave our site, this Privacy Policy no longer applies. We don’t review or control how other sites handle privacy, so take a look at their policies before you share anything with them.
We take reasonable steps to protect the information we collect - limiting who inside DigiMedicus can access it and using standard technical safeguards to cut down the risk of unauthorized access. Still, no method of sending or storing data online is completely risk-free, and we can’t promise information will never be exposed by something outside our control. If you think your information has been accessed or used improperly, let us know so we can look into it.
Want to stop getting marketing emails from us? Click the unsubscribe link at the bottom of any email we send, and we’ll take care of it. You may still get messages tied to an active business relationship or a specific request you made, even after opting out of marketing - those aren’t promotional, so they’re a different category.
If you live in a state that gives you specific privacy rights - to know what information a company holds on you, to ask that it be corrected, or to request that it be deleted - you can submit that request using the contact information in Section 12. We’ll take reasonable steps to verify your identity first, so we’re not sharing or deleting information based on a request from someone other than the person it actually belongs to. And we won’t treat you differently or deny you service because you exercised a privacy right you’re entitled to.
Depending on where you live, you may also be able to have an authorized representative submit one of these requests on your behalf. If that’s the case, we may ask for documentation confirming they have your permission before we move forward.
This Website is built for healthcare professionals and business representatives, not children. We do not knowingly solicit or collect personal information from anyone under 16 years of age. If you believe a child has given us personal information without appropriate consent, contact us, and we’ll remove it.
We may update this Privacy Policy from time to time to reflect changes in our practices, our services, or the law. Whenever we make changes, the publication date at the top of the page will be updated accordingly. Continuing to use the Website after an update means you accept the revised policy, so it’s worth checking back from time to time.
Questions about this policy, or want to exercise one of the rights described above? Reach us via the contact form on our Website at https://www.digimedicus.com or by phone or email on our Contact page. Our team will review your request and provide a comprehensive response as promptly as possible.
